This means any scheduled data refreshes will fail, and users trying to interact with reports that rely on a live connection to an on-premises source might see an error. Send a quick email or Slack message to your team letting them know you're performing gateway maintenance and that service will be briefly interrupted.

3. Pick the Right Time

To minimize disruption, schedule the update during a period of low activity. For many businesses, this might be early in the morning, late in the evening, or during a weekend. Avoid updating right before a major presentation or at the end of a fiscal quarter when report usage is at its peak.

4. Find Your Recovery Key

While the update process is typically smooth and preserves your settings, it's always wise to have your gateway recovery key handy. You were prompted to save this key when you first installed the gateway. If for any reason you need to restore your gateway on a new machine, this key is non-negotiable. You can find it in the "Recovery Key" section of the On-premises data gateway application on the server.

Step 1: Download the Latest Gateway Installer

First, you need to get the latest version. Head over to the official Power BI gateway download page. The page will automatically suggest the standard mode gateway, which is what you want for Power BI service connectivity. Download the installer file.

Step 2: Run the Installer on the Gateway Machine

You must run the update on the same server or computer where your gateway is currently installed. If it’s on a company server, you may need to remote desktop into it. Navigate to the downloaded file and run the installer. You'll likely need administrative permissions on the machine to proceed.

Step 3: Accept the Terms and Start the Process

The installer window will appear. Accept the license terms, and then the installer will automatically detect that you have a previous version installed. It will present you with an "Update" button instead of an "Install" button. Click Update to begin the process.

The update will take a few minutes. It will stop the current gateway service, replace the old files with the new ones, and then restart the service.

  • Important Note: You do not need to uninstall the old gateway first! The updater is designed to work on top of your existing installation.

Step 4: Sign In to Your Power BI Account

Once the file installation is complete, you'll be prompted to sign in. Use the same Power BI account email address that you used to originally configure the gateway. This is what links the gateway software on your server to your Power BI workspace in the cloud.

After a successful sign-in, you'll see a confirmation screen letting you know the gateway is online and ready to be used. The update is now complete! You can open the On-premises data gateway application and check the bottom of the window to verify that the new version number is displayed.

Post-Update Checks: Making Sure Everything Works

Your gateway is updated, but it's always a good idea to perform a few quick checks to ensure a seamless transition.

  1. Check an Existing Data Source: In the gateway application, go to the "Data Sources" tab. Pick one of your configured sources and run a "Test Connection" to confirm it can still communicate successfully with the underlying database or file.
  2. Verify Status in Power BI Service: Log into app.powerbi.com and navigate to Settings > Manage connections and gateways. Find your gateway in the list and ensure it shows an "Online" status.
  3. Manually Trigger a Report Refresh: Go to a workspace that depends on the gateway. Find a semantic model (formerly dataset) that uses an on-premises data source and initiate a manual refresh. If it completes successfully, you're in the clear.

Troubleshooting Common Update Issues

Although the update process is generally stable, you can occasionally run into minor roadblocks. Here are a few common problems and how to solve them.

Problem: The update fails to install.

  • Run as Administrator: The most common cause is a permissions issue. Right-click the installer file and select "Run as administrator."

Problem: The gateway appears "Offline" in Power BI Service after the update.

  • Restart the Service: First, try restarting the service manually. Open the On-premises data gateway application on your server. Go to the "Service Settings" tab and click "Restart now." Wait a minute and check the status in Power BI Service again.
  • Check the Server's Network Connection: It sounds basic, but ensure the server itself hasn't lost its internet connection.

Problem: Data refreshes are failing with credential errors.

  • Re-enter Credentials: On rare occasions, an update can affect stored credentials. In Power BI Service, go to the gateway management page, find the data source that is failing, and re-enter and verify the credentials used to connect to it.
