Why Finding Page Roles Changed (And What to Know)

Meta has been pushing all business activities toward one central hub: the Meta Business Suite. The goal was to unify Facebook Pages, Instagram accounts, messaging, and advertising tools. While powerful, this shift moved many familiar settings, making simple tasks like checking user permissions feel like a scavenger hunt. The way permissions are structured has also changed.

You may remember classic page roles like:

  • Admin: The master key holder who could do everything.
  • Editor: Could post content, run ads, and respond to messages.
  • Moderator: Could handle comments and messages.
  • Advertiser: Could only manage ads.
  • Analyst: Could only view Page insights.

Meta has largely replaced this system with a more granular approach inside Business Suite, splitting permissions into "Facebook Access" and "Task Access." Understanding this change is the first step to navigating the new landscape.

  • Full Control (Facebook Access): This is the new "Admin." People with Full Control can manage all settings, including permissions, and can even delete the page.
  • Partial Access (Task Access): This is a custom-built permission level. You can assign specific tasks like creating content, managing messages, or running ads, giving people only the access they absolutely need.

Knowing this distinction makes it much easier to understand what you're looking at when you find the user list.

Step 1: Go to Meta Business Suite

First, navigate to the Meta Business Suite. Make sure you are logged into the Facebook profile that has administrative access to the page you want to manage. If you manage multiple business accounts, ensure the correct one is selected from the dropdown menu in the top-left corner.

Step 2: Locate the ‘Settings’ Cogwheel

This is often the step that trips people up. In the bottom-left of the main navigation menu, you will see a cogwheel icon labeled “Settings.” This is your gateway to all business settings, including user management. Clicking this will open up the main settings panel for your entire business account.

Step 3: Navigate to the ‘People’ Section

Once you’re in the Settings panel, look at the menu on the left. Under the “Users” heading, you'll find an option called “People.” Click on it. This is the central hub where you can see every individual who has been granted access to your business account and its connected assets, like your Facebook Page or Instagram account.

Step 4: Review and Manage Assigned Access

Here you will see a list of users. Clicking on any name in the list will reveal the specific permissions they have. A panel will slide out from the right showing you exactly which assets they can access and what level of control they have.

Here’s how to interpret what you see:

  • Assigned Assets: This area will show you which Facebook Pages, Instagram accounts, or ad accounts the person can access.
  • "Full Control": If you see this listed next to your Facebook Page, a user has total admin control. They can manage all settings, add or remove others, and view financial information.
  • "Partial Access": For users without full control, you'll see a list of specific tasks they are permitted to perform (e.g., “Content,” “Messages,” “Ads”). You can click “Manage” next to the page name to see and edit these exact permissions.

An Alternative Place to Check: Page Access on Facebook.com

While Business Suite is the main hub, Meta still provides a shortcut directly on your Facebook Page for managing access. This view is simpler and may feel more familiar if you're used to the classic layout.

  1. Navigate directly to your Facebook Page while logged into your personal profile.
  2. Below the page title and cover photo, click the “Manage” button.
  3. In the left-hand “Professional Dashboard” menu, scroll down until you see “Page Access.” Click this.
  4. Here, you will see two lists: “People with Facebook access” (Full Control) and “People with task access” (Partial Access).

This screen is a more direct way to view permissions for a single page without opening the full Business Suite. You can view, add, or remove people from here, and the changes will be reflected in your Business Suite as well. For quick checks, this is often the fastest method.

Common Problems and Quick Fixes

Managing roles isn't always straightforward. Here are a few common issues you might run into and how to solve them.

"I Can't Find the 'People' or 'Settings' Area!"

If you don't see the "Settings" menu in Business Suite or the "Page Access" option on your page, it almost always means you do not have Full Control (Admin) access yourself. You will need to contact someone on your team who has Full Control and ask them to either grant you the necessary permissions or check the roles for you.

"I Invited Someone, But They Still Can't Access the Page."

An access invitation needs to be explicitly accepted by the recipient. If they haven't responded, the invitation will show as "Pending." Remind them to check their email (or the Business Suite "Invites" section) for the invitation link. Be aware that these invitations expire after 30 days. If it's expired, you'll need to send a new one.

"How Do I Safely Give Access to an Agency or Freelancer?"

Rather than adding external partners as "People" in your Business Suite, the best practice is to use the "Partners" feature. From your Business Settings, go to “Partners” instead of “People.” Here, you can grant another business (like a marketing agency) access to manage your page on your behalf.

This is much more secure because it links your Business Account to theirs, so you aren't tied to an individual person's personal Facebook profile. If someone leaves the agency, the agency's administrator can manage access on their end without you needing to do anything.

"How Do I Remove Someone From a Page?"

Removing access is simple but permanent.

  1. Navigate back to the "People" section in your Business Settings.
  2. Click on the name of the person you want to remove.
  3. In the pop-up panel on the right, find the Facebook Page under their Assigned Assets.
  4. Click the "Manage" button next to the page name and you'll find an option to "Remove access."
  5. Alternatively, you can click the three dots next to their name in the main list and select "Remove access" to revoke their permissions for all business assets at once.

Be certain before you click, as this immediately revokes all of their permissions.

Final Thoughts

Finding where to manage Facebook Page roles is now centered in the Meta Business Suite under Settings > People. While the interface has changed from classic roles to a system of "Full Control" and task-based permissions, this new structure ultimately gives you more precise control over who can do what on behalf of your brand. Getting comfortable with this setup is essential for securely and efficiently managing your team.

Once you’ve got your team's access sorted, the next challenge is reporting on your performance.
