Why You Should Export Your Meta Business Suite Data

Meta's built-in dashboards are great for a quick glance, but they have their limits. Exporting your data as a CSV file opens up a new level of analysis and control that you simply can't get inside the platform. It allows you to move beyond the pre-canned reports and get to the real insights.

Go Beyond the Surface-Level Dashboards

The standard dashboards in Meta Business Suite only show you a piece of the story. When you export your row-level data, you can build your own pivot tables and charts in Google Sheets or Excel. This allows you to slice, dice, and view performance from any angle you want, not just the ones Meta provides. You can spot unique trends or patterns that would remain hidden otherwise.

Combine Data for a Full Picture

Your business doesn't just exist on Facebook and Instagram. To calculate true ROI, you need to see your Meta performance alongside data from other channels like Google Analytics, Shopify, HubSpot, or Salesforce. Exporting your data is the first step in creating a unified marketing dashboard that shows how your social media efforts contribute to website traffic, leads, and sales.

Create Custom Client or Stakeholder Reports

If you're managing social media for clients or reporting to internal stakeholders, a data export is essential. You can pull the raw performance data into your own branded report templates, focusing only on the metrics that matter most to your audience. This gives you complete control over the presentation and narrative, allowing you to highlight wins and explain performance with clarity.

Backup Your Performance Data

Platforms can change, and access can be unexpectedly lost. Regularly exporting your performance data acts as a historical backup. This ensures you always have a record of your campaign performance, engagement metrics, and audience growth, giving you a valuable historical dataset to benchmark against in the future.

Method 1: The Quick Way to Export From the Insights Tab

For a quick overview of your content performance, audience demographics, or general reach and engagement, the Insights tab is your best bet. It’s perfect for getting high-level summaries without getting bogged down in the details.

Step 1: Navigate to the Insights Section

Log in to your Meta Business Suite account. On the left-hand navigation panel, find and click on "Insights." This is the central hub for all the general performance analytics for your connected Facebook Page and Instagram Account.

Step 2: Choose Your Report and Set a Date Range

Within the Insights section, you'll see several sub-categories on the left, such as:

  • Results: An overview of your reach and profile visits across Facebook and Instagram.
  • Audience: Shows data about your current and potential audience, including demographics like age, gender, and location.
  • Benchmarking: Allows you to see how your page performs against similar businesses.
  • Content: A summary of performance for your individual posts, stories, and reels.

Click on the section that contains the data you want to export. For example, if you want to analyze individual post performance, click on "Content." Next, look for the date range filter, which is typically in the top right corner. Select the time period you want to analyze, such as the last 28 days, last 90 days, or a custom range.

Step 3: Click 'Export Data'

Once your desired report and date range are selected, look for the "Export Data" button, also usually found in the top right of the screen. Clicking this will reveal a dropdown menu with different file format options.

Step 4: Select Your File Format and Export

You’ll typically be given two choices:

  • .PNG: This option exports a static image of the current chart or table you are viewing. It's useful for dropping directly into a presentation but is useless for data analysis.
  • .CSV: This is the format you want. CSV (Comma-Separated Values) files can be opened in any spreadsheet software, like Google Sheets or Microsoft Excel. This format gives you the raw, unformatted data, so you can perform calculations, create charts, and manipulate it however you need.

Select ".CSV" and the file will download to your computer, ready for you to start analyzing.

Method 2: For Granular Control with Ads Reporting

When you need to dig deep into the performance of your paid campaigns, the simple exports from the Insights tab won't cut it. You need the Ads Reporting tool, which functions like a lightweight pivot table builder, giving you complete control over the metrics and dimensions you want to analyze.

Step 1: Navigate to Ads Reporting

From the main Meta Business Suite dashboard, click on "All tools" in the left-hand navigation menu. This will open a large fly-out menu. Under the "Advertise" column, find and click on "Ads Reporting."

Step 2: Build Your Custom Report

You are now in the Ads Reporting interface. Think of this as a canvas where you can build almost any report you can imagine. The key is understanding the difference between "Breakdown" (your dimensions) and "Metrics" (your key performance indicators).

On the right-hand panel, you can customize your report:

  • Breakdowns (Dimensions): These are the categories you want to group your data by. Common examples include Campaign Name, Ad Set Name, Age, Gender, Country, or a time dimension like Day, Week, or Month. You can even select multiple breakdowns to get deeper insights, like viewing performance by Campaign and then by Age group within each campaign.
  • Metrics: These are the numbers you want to measure. There are hundreds to choose from, including Amount Spent, Reach, Impressions, Link Clicks, Clicks (All), Cost Per Result, and Purchase ROAS (Return On Ad Spend).

Example: Let's say you want to see which ad campaigns are driving the most traffic, how much you spent on each, and what the click-through rate was. You would set it up like this:

  • Breakdown: Campaign Name
  • Metrics: Amount Spent, Link Clicks, CTR (Link)

As you add breakdowns and metrics, the table in the main part of the screen will update in real-time to reflect your selections.

Step 3: Export Your Report to CSV

Once the table looks right, select your desired date range from the top right. Then, look for the "Export" icon (it looks like a box with an arrow pointing out of it), also in the top right. Click it, choose "Export as .CSV," and click the export button. A file containing the exact data you just configured in your table will be downloaded.

What's Next? Putting Your Data to Use

Getting the data out is only the first part of the process. The real value comes from what you do with it. Open up your downloaded CSV file in Google Sheets or Microsoft Excel to begin your analysis.

You can use features like Pivot Tables to quickly summarize massive amounts of data. For instance, in just a few clicks, you can pivot your raw ad data to see which campaign had the lowest Cost Per Click (CPC) or which ad creative generated the highest ROAS.

From there, you can turn your pivots into charts and graphs - like line charts to track performance over time or bar charts to compare campaign results - to visualize your findings and make your insights easy for anyone to understand.

Final Thoughts

Exporting your data from Meta Business Suite puts the power of analysis back in your hands, allowing you to move from generic dashboards to specific, actionable insights. Whether you're using a quick export from the Insights tab or building a custom ad performance report, a CSV file is your ticket to a deeper understanding of what's really working.

Manually downloading CSVs and wrangling them in spreadsheets gets the job done, but it's a repetitive and time-consuming process. At Graphed, we automate this entirely by connecting directly to your Meta account. Instead of wrestling with exports and pivot tables, you can just ask questions in plain English like, "show me my ad spend vs revenue from Shopify for the last 30 days," and instantly get a live, auto-updating dashboard. This way, your reports are never stale, and you can spend your time acting on insights instead of just finding them.
