How to Disable Drill Down in Power BI Matrix

Cody Schneider8 min read

You’ve spent hours crafting the perfect matrix in Power BI, aligning every column and ensuring the numbers tell a clear story. But when you present it, users are either confused by the clickable plus/minus (+/-) icons or accidentally get lost in a data rabbit hole. These drill-down icons are powerful for exploration, but sometimes you just need a clean, static, high-level view. This article will show you exactly how to disable drill down in a Power BI matrix so you can control the user experience and present your data with precision.

Why Would You Want to Disable Drill Down?

Before getting into the "how," it’s helpful to understand the "why." Drill-downs are a core feature of interactive reporting, but there are several excellent reasons you might want to switch them off for a specific matrix visual.

  • Improved User Experience (UX): Simplicity is key, especially for high-level dashboards. If the purpose of a particular report is to show a summary (e.g., total sales per region), the ability to drill down to the store level might be distracting or unnecessary for that audience. Removing the icons prevents users from navigating away from the core message.
  • Better Report Aesthetics: The plus/minus icons, while functional, take up space and can clutter a report. For a dense, information-rich matrix or a "pixel-perfect" dashboard design, removing these visual elements creates a cleaner, more professional look. It can make the difference between a table that feels busy and one that looks sharp and polished.
  • Preventing End-User Confusion: Not all of your report consumers will be Power BI pros. A less experienced user might accidentally click a drill-down icon, find themselves in a complex, granular view they didn't want, and struggle to get back to the original summary. Disabling this functionality guides them through the data as you intended, creating a more controlled and less frustrating experience.
  • Performance Considerations: In extremely large and complex data models, excessive drilling can sometimes impact report performance. While this is less of a concern for most reports, presenting a static, non-interactive matrix can ensure the fastest possible load time for that visual.

Method 1: The Easiest Way - Toggling Icons in the Format Pane

For most situations, this is the best and most straightforward method. It simply hides the visual indicators for drill down without changing the underlying data structure in your visual. It's easily reversible and takes just a few clicks.

Step-by-Step Instructions

Follow these simple steps to hide the +/- icons from your row headers:

1. Select Your Matrix Visual First, click on the matrix visual within your Power BI report canvas to make it active. You'll know it's selected when you see a border appear around it and the "Visualizations" pane updates to show the visual's properties.

2. Open the "Format your visual" Pane With the matrix selected, look to the "Visualizations" pane on the right side of your screen. Click on the paintbrush icon to open the formatting options. This is where you control all aspects of the visual's appearance.

3. Navigate to "Row headers" Scroll down through the list of formatting options until you find "Row headers." It will often have an expand icon next to it. Click to expand this section and reveal more granular settings for how your rows are displayed.

4. Find the "Icons" Sub-section Inside the "Row headers" section, you’ll find another sub-section called "Icons." This specifically controls the drill-down plus/minus icons. Expand it if it isn't already.

5. Toggle the Icons Off You will see a simple switch labeled "+/- icons." By default, this is turned on. Simply click the toggle to switch it to Off. As soon as you do, the icons will instantly disappear from your matrix, giving you that clean, static look you were after.

What About the Stepped Layout?

You might notice that even with the icons gone, your rows still have an indented or "stepped" look. If you want a completely flat appearance, you can also adjust this setting. Right below the "Icons" section in the "Row headers" menu, look for the "Stepped layout" toggle. Turning this Off will align all your row labels to the left, creating a classic table look instead of an indented hierarchy.

What If My Hierarchy Is in the Columns?

Power BI lets you create hierarchies in both rows and columns. The logic for disabling column drill-downs follows the exact same pattern. If your matrix has expandable columns, you can disable those icons as well.

Follow the same steps as above, but instead of going to "Row headers" in the formatting pane, scroll to "Column headers". Expand it, find the "Icons" sub-section, and toggle the "+/- icons" switch to Off. Just like that, your column drill-down capability is visually removed.

Method 2: A Structural Fix - Flattening Your Hierarchy

Sometimes hiding the icons isn't enough, or your goal is to present a fundamentally flat view of your data without any hierarchical relationship in that specific visual. For this, you can restructure how you use the fields in the visual itself.

The drill-down functionality only exists because you've placed multiple fields in the "Rows" or "Columns" bucket, creating a hierarchy. For instance, putting 'Country', then 'State', then 'City' in the "Rows" bucket creates a three-level drill down.

To disable drill down using this method, you simply decide which level of detail you want to show and only use that field.

How to Flatten the Hierarchy:

  • Decide on the View: Determine if you want to show just Country, just State, or just City data.
  • Adjust the Fields: In the "Visualizations" pane, find the "Rows" well (or "Columns" well). Instead of having multiple fields stacked here, remove them until only one level of the hierarchy remains. For example, to show a flat list of states, remove 'Country' and 'City' and leave only the 'State' field.

Since there's no deeper level to drill into, Power BI won't display any drill-down icons. This method is less of a formatting tweak and more of a change in data presentation, but it’s a foolproof way to ensure a non-interactive, flat table.

When to Use This Method

This approach works well when you are creating a report for a very specific purpose. For example, if you need a visual that an analyst can easily export to a CSV file as a simple, flat list of states and their corresponding sales, this is a great solution.

Best Practices for Clear Reporting

Disabling drill down is a formatting choice that impacts how users interpret information. Here are a few tips to ensure your reports remain clear and effective.

  • Use Informative Titles: If you disable the drill-down feature, make your visual's title extremely clear about the level of detail being shown. A title like "Total Revenue by Product Category" is better than a generic "Revenue Data," as it accurately sets the user's expectations.
  • Offer a Separate "Detail" View: One common strategy is to provide a high-level summary dashboard with all drill-downs turned off for clarity. Then, you can provide a button or link that navigates users to a separate "Detail Page" where they can find visuals with full drill-down capabilities for deeper exploration. This gives you the best of both worlds.
  • Consistency is Key: Be consistent in your design. If matrices in your report are sometimes interactive and sometimes static, it can confuse users. Try to maintain a consistent user experience across your report, or use tooltips and text boxes to briefly explain to the user which visuals are interactive.

Final Thoughts

Controlling the drill-down functionality in a Power BI matrix is a simple yet powerful way to refine your reports. Whether you’re tidying up a dashboard for an executive presentation or guiding a new user through their data, disabling the +/- icons in the formatting pane is the easiest way to create a clean, static, and easy-to-understand visual.

Managing granular features in tools like Power BI is part of building great reports, but sometimes you just need to get straight to the insights without getting lost in formatting panels. We understand that this process of building, tweaking, and managing reports can eat up valuable time, which is why we built Graphed. It allows you to skip the manual setup by connecting to your crucial data sources and creating real-time dashboards simply by describing what you want to see in plain English. This turns hours of clicking into a short conversation, letting you focus on the story your data is telling, not just how the visuals are arranged.
