Before You Connect: The Pre-Flight Checklist

Most connection errors happen before you even get to Metricool. Taking two minutes to run through this checklist will save you a ton of frustration later. To connect correctly, you’ll need three things in place, all thanks to how Meta (the company that owns Instagram and Facebook) manages its data connections.

1. Make Sure You Have an Instagram Business or Creator Account

Metricool, like all third-party marketing tools, needs API access to pull your data and post on your behalf. This access is only available for Business or Creator accounts, not Personal profiles. If you’re still using a personal account, you’ll need to make the switch - it’s free and only takes a minute.

How to Check and Switch Your Account Type:

  • Open the Instagram app and go to your profile.
  • Tap the hamburger menu (three horizontal lines) in the top-right corner and select Settings and privacy.
  • Scroll down to the "For professionals" section and tap on Creator tools and controls or Business tools and controls.
  • If you see these options, you're all set! If not, look for an option that says Switch to professional account or Add new professional account.
  • Follow the on-screen prompts. Instagram will ask you to select a category that best describes what you do (e.g., Digital Creator, Blogger, Local Business). The process is quick and doesn’t change the look and feel of your profile for your followers.

2. Link Your Instagram Account to a Facebook Page

This is the single most important step and the one that trips up most people. To authorize any professional tool for Instagram, the authentication process happens through Facebook. Your Instagram Business/Creator account must be officially linked to a Facebook Page you manage. This doesn’t mean you have to be active on that Facebook Page, but the connection needs to exist for the technical handshake to work.

How to Link Instagram to a Facebook Page:

  • On the Instagram app, navigate back to your profile page.
  • Tap on Edit profile.
  • Under "Public business information," tap on Page.
  • You'll see options to Create Facebook Page or Connect an existing page.
  • Assuming you already have a Facebook page for your brand, choose to connect an existing page. Your Facebook Pages where you have admin-level permissions will appear.
  • Select the correct page and confirm. Your Instagram profile will now be officially linked. If you didn’t have a page, you can create a basic one in minutes right from this screen.

3. Confirm You're an Admin on the Linked Facebook Page

Finally, you need to have the right permissions. You must be an Admin of the Facebook Page that's linked to your Instagram account. If you only have "Editor" or "Moderator" access, you won't have the authority to grant permissions to a third-party application like Metricool. You can check your role by going to your Facebook Page > Settings > Page Roles.

With these three steps confirmed, you’re ready to make the connection smoothly.

The Step-by-Step Guide to Connecting Instagram to Metricool

Now for the main event. With your pre-flight checklist complete, the actual process inside Metricool should be quick and straightforward. Just follow these steps carefully.

  1. Log In to Your Metricool Account: Head to Metricool's website and sign in. If you're new, you can create a free account.
  2. Navigate to Your Brand Connections: In the upper right corner, you'll see your brand name with a dropdown menu. Click on it and select Connections from the list. This takes you to the hub where you can manage all your connected social media and ad accounts.
  3. Select Instagram to Connect: You'll see a list of available platforms with their logos. Find the Instagram section and click the Connect account button. You can also connect a competitor’s account for tracking, but for your own profile, you'll be authenticating under the "Instagram Profile" part.
  4. Begin the Facebook Authentication Process: A new pop-up window from Facebook will appear. This is normal and expected. Since Meta controls the Instagram API, the confirmation happens via your Facebook login. The window will ask you to "Continue as [Your Name]." Click this button to proceed.
  5. Choose Your Instagram Business Accounts: The next screen will show a list of all the Instagram Business accounts associated with your Facebook profile. Be sure to check the box next to the specific Instagram account you want to connect to Metricool. Even if there's only one, you still need to select it.
  6. Select the Associated Facebook Pages: After selecting your Instagram account(s), you’ll be asked to select the Facebook Page(s) linked to them. Again, check the box next to the appropriate page.
  7. Grant All Necessary Permissions: This is a crucial step. Facebook will show you a list of permissions that Metricool is requesting, such as "Access your Page and other assets" and "Manage your business." You must click "Yes" or toggle "On" for all of them. If you decline any permissions, the connection will fail or features like auto-publishing and analytics will be incomplete. Don't worry, this is standard practice for social media management tools to function properly.
  8. Confirm and Finalize: Once you've granted permissions, you'll be redirected back to your Metricool dashboard. Your Instagram account should now appear in the list of connected platforms with a green checkmark next to it. Congratulations, you're connected!

Your historical data will begin syncing. This can take a few minutes to a couple of hours depending on how much content and following your account has, so be patient if you don’t see all of your analytics right away.

Troubleshooting Common Connection Issues

Even with careful preparation, sometimes things go wrong. Here are the most common snags users face during the Metricool-Instagram connection process and how to resolve them quickly.

"My Instagram Account Isn't Showing Up in the List"

If you get to the Facebook authentication pop-up and you don't see the Instagram profile you want to connect, the cause is almost always one of the pre-flight checklist items. Here's what to do:

  • Double-check that the Instagram profile is set to a Business or Creator account. A personal profile will not appear.
  • Confirm the Instagram account is properly linked to the Facebook Page you think it is. Go to Instagram > Edit Profile > Page to see what page is listed.
  • Ensure you are an Admin of that linked Facebook Page.

"Metricool Is Showing a Permissions Error"

This usually happens if you accidentally unchecked a permission box during the setup process or if a previous Facebook update has caused your token to lose validation. The fix is to re-authorize the connection.

  • In Metricool: Navigate to Connections, find your Instagram profile, and click the "Reconnect" button. This will restart the authentication process.
  • In Facebook: A more thorough fix is to go directly to Facebook's Business Integrations settings. Go to Settings & Privacy > Settings > Business Integrations. Find Metricool in the list, click "View and edit," and ensure all permissions are toggled on. If that doesn't work, you can remove the integration entirely and then reconnect it fresh from the Metricool dashboard.

"My Data Stopped Updating or I Can't Post Anymore"

Social media tokens expire for security reasons, usually after 60-90 days. When this happens, Metricool loses its connection and can't pull new data or publish scheduled content. You'll likely see a red "i" icon or an error message in your Metricool dashboard.

  • The solution is simple: go back to your Brand Connections settings in Metricool and click the Reconnect button for Instagram. This refreshes the token and restores full functionality, an easy fix that only takes about 30 seconds.

What You Can Do After Connecting Instagram to Metricool

Now that you've done the work, what’s your reward? By centralizing Instagram in Metricool, you unlock a suite of powerful tools that go far beyond Instagram’s native app.

  • Deeper Analytics & Reporting: Visualize your follower growth, demographic data, best times to post based on your audience’s activity, and hashtag performance all in one place. Generate professional, white-labeled PDF and PPT reports perfect for clients or internal stakeholders in just a couple of clicks.
  • Unified Content Scheduling: Plan your entire content calendar - Reels, Carousels, Stories, and single-image posts. Using the visual planner and setting up auto-publishing for appropriate formats frees you from the daily grind of manual posting.
  • Competitor Analysis: Add competitor Instagram accounts to track their follower growth, posting frequency, engagement metrics, and most successful posts. It’s an invaluable way to benchmark your performance and spot opportunities.
  • Powerful Hashtag Tracking: Get real-time analytics for any hashtag, seeing how many posts are using it and analyzing their general like and comment performance. This is perfect for campaign tracking or finding relevant hashtags for your niche.
