Why Does Canvas Size Even Matter?

Changing the canvas size isn't just about fitting more charts on a page. It's a fundamental part of designing an effective and user-friendly report. A properly sized canvas helps you:

  • Improve Readability: White space is your friend. A larger canvas prevents visuals from being crammed together, making it easier for your audience to process the information.
  • Design for Specific Displays: Your report might be viewed on a large conference room TV, a standard desktop monitor, or embedded in a webpage. Adjusting the canvas size ensures your dashboard looks professional and is optimized for the intended screen.
  • Create Better Storytelling Layouts: You can create long, scrollable "infographic-style" reports that guide the viewer through a narrative, from high-level summaries down to granular details.
  • Prevent Unnecessary Scrolling: For standard dashboards, sizing the canvas correctly means your user sees everything they need at a glance, without frustrating horizontal or vertical scrollbars popping up.

Two Ways to Change Your Canvas Size in Power BI

There are two primary methods for resizing your Power BI canvas: using the pre-set default sizes or defining your own custom dimensions. Both are handled in the same location.

1. Using Standard Pre-Set Sizes

Power BI comes with a few built-in sizes that work well for common use cases. This is the quickest way to adjust your canvas if you don't have super specific requirements.

Here’s how to do it:

  1. Make sure you don't have any visuals selected. Click on the blank background of your report page.
  2. With the page selected, look for the Visualizations pane on the right-hand side of your screen.
  3. Click the Format your report page icon (it looks like a paintbrush). This opens the formatting options for the entire page.
  4. Expand the Canvas settings section. You’ll see a dropdown menu labeled Type.
  5. By default, this is set to 16:9, which is a standard widescreen aspect ratio. You can change this to another preset, like:

Once you select a new type, the canvas will resize instantly. From there, you can rearrange your visuals to fit the new layout.

2. Creating a Custom Canvas Size

For most situations, you’ll want more control over the dimensions. This is especially true when designing for a specific screen resolution or creating those long, scrollable reports.

Follow the same first four steps as above to get to the Canvas settings menu.

  1. In the Type dropdown menu, select Custom.
  2. Two new fields will appear just below: Height and Width. These values are measured in pixels (px).
  3. Simply enter your desired dimensions into these fields and hit Enter. The canvas will immediately adjust.

Example Scenarios for Custom Sizing:

  • Designing for a Standard HD Monitor: Most business monitors use a 1920x1080 resolution. To fill the screen perfectly, you would set your canvas Width to 1920 and Height to 1080.
  • Creating a Long, Scrollable "Infographic" Report: If you want to create a report that users can scroll through vertically, you might keep the width manageable but dramatically increase the height. For example, a Width of 1000 and a Height of 4000 would create a tall, continuous canvas perfect for detailed storytelling.

An Essential Step: Adjusting Your Page View Settings

Changing your canvas size is only half the battle. If your Page view settings aren't correct, Power BI might automatically shrink your beautiful custom canvas to fit the screen, defeating the whole purpose.

Here’s how to make sure your canvas is displayed as intended:

  1. Go to the View tab in the main ribbon at the top of the Power BI window.
  2. Look for the Page view section.
  3. You have three options here:

For custom canvases designed for specific monitors, setting the page view to Actual size is typically the best choice. For tall, scrollable reports, always choose Fit to width.

Best Practices for a Well-Sized Dashboard

Now that you know how to resize the canvas, here are a few design principles to keep in mind:

  • Design for Your Audience First: Before you set any custom dimensions, find out how your end-users will be viewing the report. Are they on laptops? In a conference room? Knowing the target screen resolution will save you a lot of rework.
  • Embrace White Space: Don't feel obligated to fill every single pixel of a larger canvas. Leaving some empty space around your visuals reduces cognitive load and makes your dashboard much easier to interpret.
  • Plan Your Layout on Paper (or a Whiteboard): Sketch out where you'll place key visuals before you start building. This helps you determine the story you're telling and what dimensions you'll actually need. Ask yourself: what's the most important metric? It should probably be in the top left. What information needs to be seen together? Group those visuals.
  • Use Alignment Tools: Once your canvas is sized, use Power BI's built-in alignment tools. Select multiple visuals (by holding Ctrl and clicking them), then go to the Format tab and use the Align options (e.g., Align top, Distribute horizontally) to create a clean, professional grid.

Final Thoughts

Mastering canvas sizing is a small but powerful step toward creating reports in Power BI that are not only informative but also a pleasure to use. By moving beyond the default settings and thoughtfully considering your layout and audience, you can turn a cluttered dashboard into a clear and effective decision-making tool.

Spending hours adjusting pixels, aligning visuals, and setting up reports is a familiar task for anyone working with traditional BI tools. At Graphed, we created a tool that skips the manual dashboard-building process entirely. You can simply connect your data sources - like Google Analytics, Salesforce, or Shopify - and use plain English to ask for the report you need, like "Show me a dashboard of new users vs. ad spend for the last quarter." We believe getting critical insights shouldn't require you to become an expert report designer, allowing you to focus on the story your data is telling, not the layout.
